Workforce planning system streamlines collaboration between HR and FP&A

The Resource Management Office (RMO, a team within Human Resources) at Kabam Games faced significant challenges in workforce planning due to reliance on a manual spreadsheet for aggregating data from the human capital management system (HCM) and applicant tracking system (ATS). Frequent personnel changes would overwhelm the process, leading to error-prone headcount forecasts and tension-filled work between RMO and FP&A to meet deadlines. These inaccuracies triggered numerous corrective cycles, wasted productivity, and incorrect payroll forecasts, highlighting the need for a more efficient and aligned solution.

Sven led the design and development of a new workforce planning system, integrating data directly from Dayforce and Lever to ensure accurate, up-to-date personnel information. The system automated data integrity checks, reducing errors and improving data quality. Workforce forecasts were delivered in a standardized data integration template, streamlining FP&A’s processes. Sven also managed the change management efforts, ensuring a smooth transition and promoting effective information management practices across teams.

The new system eliminated 80 labor hours per month spent on manual spreadsheet management and resolved the tension between HR and FP&A, leading to collaboration and strategic discussions. Transforming workforce planning improved the productivity of FP&A and showcased how a Finance BI mindset enhances productivity, improves cross-functional alignment, and supports better financial forecasting.
